Seat Maps & Reserved Seating

How to create venue layouts and enable seat selection for your events

Seat Maps & Reserved Seating

Enable attendees to choose their exact seats with interactive venue maps.

Overview

Reserved seating allows you to:

  • Create custom venue layouts (stadiums, theaters, conference rooms)
  • Set different prices per section (VIP, Orchestra, Balcony)
  • Let attendees visually select their seats during checkout
  • Manage seat availability and reservations

Step 1: Create a Venue Map

  1. Go to Settings in your dashboard
  2. Click Venue Maps in the sidebar
  3. Click Add New to create a venue

Venue Details

FieldDescription
Venue NameDescriptive name (e.g., "City Hall Auditorium")
Venue ImageUpload a floor plan showing section boundaries

The venue image appears to customers during checkout, helping them understand the layout before selecting seats.

Step 2: Design Your Seat Layout

After saving the venue, the seat map editor opens automatically.

Adding Sections

Sections represent distinct seating areas:

  • Orchestra - Main floor seating
  • Balcony - Upper level
  • VIP - Premium front rows
  • General - Standard seating

For each section, configure:

SettingDescription
Section NameDisplay name for the section
Seat PriceDefault price for all seats in this section
Row LayoutPattern defining seat positions

Seat Layout Patterns

Use these characters to define seat positions:

  • X = Seat position
  • _ = Gap/aisle (no seat)

Example patterns:

  • XXXXXXXXXX - 10 consecutive seats
  • XXX_XXX_XXX - 9 seats with 2 aisles
  • XXXX__XXXX - 8 seats with center aisle

Step 3: Manage Individual Seats

Once your layout is configured, you can manage individual seats:

Seat Status Types

StatusDescriptionCustomer View
AvailableOpen for purchaseCan select
Reserved by HostBlocked by organizer (staff, VIP holds)Cannot see
UnavailableBlocked (obstructed view, broken seat)Cannot see
HiddenRemoved from layout entirelyNot visible

Common Actions

  • Block seats - Reserve for staff or special guests
  • Hide seats - Remove seats with obstructed views
  • Adjust pricing - Override section pricing for specific seats

Changes to seat status affect only the current venue map. If you've assigned this venue to an event, you'll need to update the event's seat configuration separately.

Step 4: Assign Venue to Event

  1. Open your event in the dashboard
  2. Go to Event SettingsManage Venue
  3. Select your venue from the dropdown
  4. Click Manage Price Tiers and Reserve Seats

Event-Specific Pricing

You can adjust section prices for each event:

  • The venue's default prices serve as a baseline
  • Override prices without affecting the original venue map
  • Different events at the same venue can have different pricing

Every section must have a price assigned before you can save the event configuration.

Step 5: Enable Reserved Seating

For your event to use seat selection:

  1. Navigate to Event Settings
  2. Enable Reserved Seating toggle
  3. Save your changes

When enabled, customers will see the interactive seat map during checkout instead of quantity-based ticket selection.

Customer Experience

During checkout, attendees will:

  1. View the venue floor plan
  2. Select a section from the dropdown
  3. See available seats highlighted on the map
  4. Click seats to select (highlighted in yellow)
  5. Proceed to payment with their chosen seats

Selected seats are temporarily held during checkout and released if payment fails.

Managing Sold Seats

After tickets are sold:

  • View which seats are taken in the seat map editor
  • Sold seats appear as Reserved by Guest (greyed out)
  • You cannot modify sold seats until orders are refunded

Best Practices

  1. Upload clear floor plans - Use high-quality images with visible section boundaries
  2. Test your layout - Preview how customers will see the seat selection
  3. Price strategically - Consider sight lines and proximity to stage
  4. Leave buffer seats - Reserve a few seats for last-minute VIP requests
  5. Account for accessibility - Mark wheelchair-accessible areas clearly

Reusing Venues

Venue maps are reusable across multiple events:

  • Create once, assign to many events
  • Each event can have different pricing
  • Seat availability resets for each event

Troubleshooting

Seats not appearing in checkout

  • Verify reserved seating is enabled for the event
  • Check that all sections have prices assigned
  • Ensure seats aren't marked as Hidden or Unavailable

Can't modify seats after ticket sales

  • Seats with sold tickets cannot be changed
  • Process refunds first if you need to modify the layout

Venue image not displaying

  • Check image format (PNG, JPG recommended)
  • Ensure file size is under 5MB
  • Try re-uploading the image
